Job Title:   Conference & Seminar Assistant Co-ordinator (6-months Fixed Term Contract)

Reports to:   Conference & Seminar Manager – World Travel Market (WTM)

Based at:   Richmond, Greater London, UK

 

Love events, conferences? We are looking for someone to join the WTM London & Travel Forward team to work on the events conferencing programmes. The role involves providing administrative, marketing & operational support to the Conference & Seminar Manager & Executive, assisting them in delivering seminars/conferences and events at WTM London & Travel Forward.

Key Responsibilities:

World Travel Market (London)
Event Programme
• Assisting the team with liaising with external seminar organiser and speakers (WTM programme experts)
• Gather all the seminar information including session titles, synopsis, speaker biographies and photos
• Assist team with speaker queries on hotels and flight booking, registration & badging
• Manage the event timetables/schedules on Monday.com
• Responsible for uploading all event content to website
• Assist in administration for Travel Forward’s Conference Programme & Product Showcase Theatre.
• Assist co-ordination in Responsible Tourism programme & Speakers
• Liaise with production teams onsite
• Support arranging / co-ordinating A/V / catering and signage directly with the venue/third party suppliers/operations team pre and onsite
• Support liaising with venue to manage layout / logistics of conference & speaker rooms
• Creation of digital screen schedule and implementation
• Admin support on managing speaker contracts
• Support in any literature creations
• Support with liaising with registration company on event data and full post show analysis
• Agency & supplier liaison where necessary
• Help proof reading signage/literature

Ideal candidate profile:
• Good multi-tasking skills and ability to prioritise
• Ability to meet deadlines under pressure
• Strong time and project management skills
• Excellent verbal communication skills and enjoys working in a collaborative team environment
• Exceptional attention to details
• Experience in an event admin co-ordination would be an advantage
• Excellent IT skills including Microsoft Office applications
