WHAT’S EXCITING ABOUT THIS JOB:

We are seeking an independent, dynamic and detail oriented Administrative Assistant to support our President of the Americas.  This position requires excellent oral and written communications skills, a high degree of organization and expert level knowledge of the Microsoft office suite.  We operate in a fast paced, open and friendly environment.  You will have the opportunity to use your creativity on project work and corporate communications. This highly visible position provides a great opportunity to learn about the trade show and events business and grow your network in this global world class organization.

 

 

BRING YOUR PASSION:

The Administrative Assistant to the President should have a passion for organization and detail, a flair for arranging company events and meetings and enjoy working with people throughout all levels of the organization.  Responsibilities for this role will include:

 

  • General administrative duties including prompt payment of invoices, submitting expense reports, scheduling meetings and training, travel coordination and general organization for the President
  • Manages calendar for President
  • Manages programs, events and meetings by arranging facilities, caterers and any other requirements
  • Maintain office files
  • Participate in various meetings, maintain notes
  • Pick-up and distribute or send out mail and packages, maintain stamp supply for office
  • Create expense reports and purchase requisitions for other employees as needed
  • Compose and edit office-wide communications
  • Special projects and planning of company events i.e. holiday parties, employee appreciation events
  • Maintains confidentiality of all corporate, personnel and personal matters
  • Handles any other ad-hoc assignments are needed

 

Bachelors Degree or equivalent experience

Experience providing executive level support

Excellent verbal and written communication skills

Expert level knowledge of Microsoft office suite
