Overview:


We are looking for a Personal Assistant to provide high quality executive support to two members of the Senior Leadership Team (Director level), supporting with administrative functions, project support and the efficient and effective operation of the business unit.


This is a 12 month fixed term contract to start ASAP.


Key Responsibilities:

  • Extensive diary management of two Directors - requires forward planning and organisation of calendars (at times across varying time zones).

  • Organising travel itineraries (domestic and international).

  • Event management, including conferences and team off-sites (organising group sizes up to 300 people).

  • Assist with creation of documentation including PowerPoints, PDFs, Excel files, organisational charts, formal letters, and management packs (in particular in preparation of meetings).

  • Meeting arrangements including room bookings, catering arrangements and organisation of appropriate facilities .

  • Leave calendar management - monitor absence and holidays of managers within the team.

  • Processing expenses - ensuring all expenses adhere to policy.

  • Collect monthly reports/insights from teams and prepare a report of activities and progress

  • Prioritise and manage multiple projects and follow through on issues in a timely manner.

  • Ensure all work is undertaken efficiently and accurately, managing own workload independently.

  • Adhere to internal policies and procedures, suggesting process improvements where appropriate.

  • Demonstrable and efficient organisational and administrative skills.
  • Proficient in all Microsoft Office tools, specifically Word, Excel, Outlook and PowerPoint.
  • Requires general knowledge of own specialism and understanding of processes, procedures and systems used. Likely to use skills acquired through formal training or experience.
