Overview:


We are looking for a Personal Assistant to provide high quality executive support to two members of the Senior Leadership Team (Director level), supporting with administrative functions, project support and the efficient and effective operation of the business unit.


This is a 12 month fixed term contract to start ASAP.


Key Responsibilities:

  • Provide full secretarial functions - managing diary, opening and screening mail, expenses and organising travel itineraries.

  • Assist with documentation including powerpoints, pdfs, organizational charts, formal letters, and filing

  • Collect monthly reports/insights from teams and prepare a reports of activities and progress

  • Prepare ad-hoc analysis and reports

  • Meeting arrangements including room bookings and catering arrangements

  • Coordinate internal team events, including conferences and team offsites

  • Prioritise and manage multiple projects & follow through on issues in a timely manner 

  • Identify and document key departmental processes

  • Highlight areas of improvement and implement suggested and approved optimisations

  • Monitor absence and holidays of managers within the team.

  • Ensure all work is undertaken efficiently and accurately, managing own workload.

  • Adhere to internal policies and procedures, suggesting process improvements where appropriate.

Specialist Knowledge / Skills Required:
  • Efficient organisational and administrative skills.
  • Proficient in all Microsoft Office tools, specifically Word, Excel, Outlook and PowerPoint.
  • Requires general knowledge of own specialism and understanding of processes, procedures and systems used. Likely to use skills acquired through formal training or experience.
