Reporting to the Executive Assistant, this role will primarily focus on supporting delivery of a smooth and efficient governance function, through meeting co-ordination and minute taking, provide administrative and event support to members of the UK&I Leadership Team and undertaking Reception/Front of House duties, as required.

Main Duties & Responsibilities:

Administrative Support
Manage complex scheduling and calendars for Leadership Team
Co-ordinate domestic and international travel arrangements for Leadership Team
Undertake collation and submission of Leadership Team expenses
Participate in meetings and/or conferences, taking and transcribing minutes of meetings
Provide pre-meeting support through production of agenda documentation and providing post-meeting follow up on actions and deliverables
Collation and publication of information for companywide communications and briefings
Provide support to company organized/sponsored projects and events
Support corporate hospitality arrangements
Undertake all reasonable requests for administrative support across the site Leadership Team

Front of House/Reception
Welcome (and supervision of) visitors and deliveries to site
Manage security access passes for Cardiff Office
Process and circulate incoming and outgoing post, as required
Co-ordinate courier and special delivery services, as required
Ensure office areas are maintained to a high standard
Support facilities activities as required, including but not limited to the co-ordination of maintenance services, arranging for catering and meeting room requirements and maintaining appropriate site records
Support Business Continuity and Incident Management activities
Follow process to receive, upload and code supplier invoices within appropriate systems
Support Managers with completion of New Hire Security and Identity processes
Support remote Managers with end of employment processes, including co-ordination of retrieval of Company equipment
Undertake other tasks and responsibilities as assigned by Line Manager, as required

Adhere to all applicable internal policies and procedures to mitigate operational, information security, health & safety, financial, and reputational risks
Demonstrate, promote and enforce a strong advocacy to a compliance culture
Adopt and demonstrate the FCA principles throughout all aspects of role
Highlight risks and issues in a timely manner through the appropriate channels


Educated to minimum GCSE level (or equivalent)
NVQ / HNC in Administration

Experience & Technical Skills
Minimum of one year administrative experience supporting multiple departments and/or multiple Managers
Minimum of one year experience minute taking at Executive/Board Level 
Good knowledge of the Microsoft Office suite of products including, but not limited to, MS Outlook, Word, Excel and PowerPoint 
Understanding of Health & Safety at work requirements
Events co-ordination 
UK & International travel co-ordination and itinerary planning 
Understanding of ISO27001 and GDPR requirements for record keeping/information storage

Excellent interpersonal and communication skills, with ability to communicate effectively at all levels
Detail oriented, highly organized and able to prioritise work
Ability to act independently, applying discretion, judgment and tact, in a highly sensitive environment with changing priorities
Ability to operate under pressure and meet deadlines as required
Ability to remain calm under pressure
Customer‐first mindset, and the ability to deliver results on time 
Willingness to work flexibly in response to changing organisational requirement
