Job Title: Logistic Exec II

Purpose of the Job

The Logistics department is a service unit within Elsevier Operations - Orders, Renewals & Fulfilment and is responsible for the receipt, storage and distribution of Elsevier print products dispatched from warehouses and printers to a global customer base. The Logistics Coordinator works closely with internal departments and external vendors to ensure efficient and accurate receipt and storage of print products and timely dispatch and delivery On Time In Full of orders at the appropriate cost levels.

Key responsibility Area:

Process Management

·      Monitor supplier performance against Key Performance Indicators (KPIs) and Service Level Agreements (SLAs).

·      When service targets are not met, ensure supplier performs Root Cause Analysis (RCA) and where required implements agreed Corrective and Preventative Actions (CAPA).

·      Ensure that systems and procedures are followed, and high peak seasonal capacity is sufficient to meet our on-time shipping requirements especially at month, quarter and year end.

·      Monitor warehouse workload at inbound, outbound, and returns and approve additional resource required.

·      Request and review monthly freight forwarder performance reports.

·      Plan and Manage quarter end revenue recognition cut-offs

Supplier Spend Management

·    Ensure rates and budgets are agreed, in place and up to date with suppliers and that invoices are audited and coded correctly and paid on time.

·      Monitor in-house and outsourced freight invoice audit, coding & payment processes, ensure invoices are paid on time, charges are audited, and cost is coded correctly.

·      Provide volume and cost trend data for budgeting and reforecasting

·      Provide data for periodical warehousing and freight forwarding tenders, analyze quotations and provide input in rate negotiations

Projects and Continuous Improvement

·      Participate as Logistics Subject Matter Expert in projects and programs. Own and deliver on forthcoming actions.

·      Provide distribution-oriented analytical support for projects, new business opportunities and proposals.

·      Initiate, implement and monitor continuous improvement in internal processes, supplier processes and systems & interfaces.

·      Collaborate with Procurement to establish/maintain a cost-effective distribution network incl setting up of new fulfilment locations, new freight routes, etc.

Reporting and Analytics

·      Analyze freight spend trends using freight audit supplier's Business Intelligence (BI) tool; Identify and report areas of potential cost saving and implement agreed changes.

·      Record, report and monitor end to end fulfilment lead times and quality rolled up in On Time In Full (OTIF) KPI.

·      Record, report and monitor Freight Cost KPIs

·      Publish periodical dashboards, contribute to newsletters and maintain pages on intranet site.

Process Compliance & Control

·      Design and control physical warehousing and distribution workflows and related data flows.

·      Maintain local repository of standard operating procedures and ensure documentation is up to date.

·      Ensure internal and external compliance with (inter)national laws and regulations related to processes and outcomes, in particular to import/export activities, SOX controls, C-TPAT, Incoterms, customs valuation, Country of Origin, wood packaging, packaging waste & safety, etc.

Business Continuity & Disaster Recovery

·     Ensure internal and vendor Business Continuity Plans are in place, approved and up-to-date and ensure annual Disaster Recovery tests are successfully concluded.

Exception management

·     Handle special requests for orders to be processed, shipped and delivered outside the regular SOPs and/or with special vendor arrangements.

·     Facilitate resolution of customer queries on missing/ short shipments.

·     Ensure proof of print/pick, pack, dispatch is provided by warehouses and printers and proof of

      delivery data is provided by freight forwarders on incidental and on periodical basis.

·     Initiate claims to freight forwarders for damaged and lost product / shipments, follow through credit received.


·     Elsevier fulfilment system Local Application Manager and User Coordinator for warehousing,

      distribution and for interfacing to warehouses, freight company and customer's systems.

·     Log Elsevier fulfilment system and warehouse system Issue and Change Requests provide input

      for prioritization and follow up till resolution and/or implementation

·     Monitor other change requests to ensure there is no negative impact of those changes on the existing distribution workflow and deliverables

·       Proven experience in distribution / mail / express courier related role, export knowledge          


·       Skilled in use of MS Office programs (Outlook, Excel [[ADVANCED]], Word, Access,   


·       Experience in using Tableau editor

·       User experience with finance systems and ERPs

·       Good understanding of operational processes, ability to identify critical data elements and

        define Key Performance Indicators

·       Ability to analyze issues, find root causes and apply Corrective Actions / Preventative Actions

·       Basic knowledge of publishing process and related developments

·       Fluent and strong English (speaking and writing), additional language skills in Spanish,

        Portuguese, French and/or German are welcomed

·       Excellent verbal and written communication skills

·       Lean / 6 Sigma Yellow Belt (awareness certificate) or higher is desirable
