The CRM Specialist will be responsible for a myriad of duties that will ensure cohesive management of the organisation’s database as well as the policing of the data that is housed within it.

 

One day you could be collaborating with the marketing team to gather campaign data requirements and designing, targeting, and developing their marketing mail lists – the next day you could be responsible for the improvement of the CRM data and its development and enhancement. No two days are the same.

 

You will therefore work closely with the CRM system and understand its data structure well enough to validate, maintain and modify existing and new customer information and ensure accurate and up to date data for sales and marketing purposes. Your role will be integral to the rest of the business as it feeds data that needs to be of an excellent quality for successful Sales and Campaign activity through to lead generation.


Responsibilities

Marketing Data and Output – List Extractions

  • Assess data requirements to develop and manage accurate lists for marketing campaigns
  • Assess data requirements to develop and manage accurate lists for other stakeholders such as Sales
  • Extract and manipulate customer data from CRM and other business systems for marketing campaigns and initiatives
  • Design reports and queries for campaign marketing channels such as mail, email and post
  • Refreshing lists for campaign activity as and when required
  • Keeping an excellent rapport with peers in the CRM team to ensure data quality is excellent
  • Adherence to DBM Policy & Guidelines to ensure data integrity at all times
  • Data maintenance by ensuring accurate customer information within CRM system
  • Update and manage returns of all customer communication DM, EDM to reflect necessary changes in the system and update touch points for tracking marketing communications
  • Provide data management support during the lifecycle of marketing campaigns
  • Demonstrate actions to reduce data duplications and manually delete or merge duplicated records as appropriate
  • Monitor adherence to contacts policies and manage customer contact information action privacy emails to reflect all stakeholder requests in CRM
  • Coordinate with various teams to resolve validation of data; modify existing customers and contact information with immediate efficiency. This includes using multiple sources such as Privacy inboxes, Unsubscribe emails and Return to Sender mail.
  • Validate and update fee earner numbers as requested by relationship managers with proper documentations for future reference
  • Provide data support to the campaign team for list checking and matching, and privacy checks
  • Develop an understanding of Privacy Compliance and ensure laws are upheld
  • Execute regular automated data clean up initiatives as required to uphold data integrity
  • Manage and police data quality thereby improving the effectiveness of marketing campaigns and initiatives
  • Work with internal departments to append missing information where required
  • Manage the process to reduce duplicates in the CRM, and keep the data clean by de-duplicating new leads, contacts and customer against existing leads, contacts and customers
  • Handle all imports and exports of data to and from the NetSuite and Global CRM system
  • Ensure purchase of appropriate packages such as Do Not Call Register and Do Not Mail

 

Prospecting

  • Enhance database with new sources of data to increase opportunities using internal, external and web resources ensuring compliance
  • Researching using open source online tools
  • Updating the database with business cards leads from events and associations
  • Work closely with the Sales & Marketing teams to ascertain areas of priority for the business in terms of where deeper market penetration is needed
  • Provide a feedback loop for stakeholders so that data quality is maintained and improved as required; allow stakeholders to raise their concerns for resolution
  • Understand and uphold privacy and spam laws when researching prospects
  • Be proactive when using various sources/channels for prospecting, for example having a tight link with events team to ensure they are capturing new leads
  • Demonstrate actions to reduce data duplications and manually delete or merge duplicated records as appropriate
  • Create opportunities generated by marketing and allocate tasks to sales to allow for opportunity creation, using the CRM system
  • Align self to business priorities as and when they change

 

CRM Development and Enhancements

  • Work with the marketing team to deliver enhancements to the NetSuite and Global CRM system
  • Manage the Business and User requirement function for any Marketing CRM enhancements
  • Strong CRM system knowledge (such as Siebel or Salesforce);
  • Preferably has 2-3 years experience in marketing data management (direct marketing, database marketing and campaign management, as well as data mining and customer segmentation);
  • Has strong written and verbal communication skills;
  • Shows attention to detail and can follow/implement defined processes;
  • Able to demonstrate an analytical mindset and a passion for working with data
  • Able to effectively collaborate and/or work independently; has strong stakeholder management skills;
  • Intermediate Excel (pivot tables, macro formula), SQL, and dashboarding skills a strong plus
  • Anyone with GCRM experience (whether UI or backend) would be a preferred candidate
