The Publishing Assistant will be part of one of the three local Publishing Support Teams. Each Publishing Support Team falls under the Centralized Publishing Services Department, one of the supporting units within Science Technology and Medicine Journals (STMJ). The Publishing Assistant will support local publishing staff across the three publishing units within STMJ, with the ultimate goal of supporting the acquisition, maintenance and development of high quality STM journals content. The role will contribute to the main STMJ initiatives including three-pronged content growth, content innovation, open access publishing, society publishing and peer review improvements. The Publishing Assistant will facilitate the well-running of the local STM Journals portfolios and their publishing activities, by providing support to the publishers and their portfolios.                                                                        

 

This role is based in Oxford and reports to the Team Leader, Publishing Services.

 
Your responsibilities 

Coordination of Editorial Meetings
  • Responsible for the complete logistical organization of Society/Editorial Board Meetings at various locations dependent upon Publishing/Journal needs; Arrange and mail materials and reports for publishers meetings; Organize and book travel for editors if required and process editor's expense claims. 


Providing Journal support through various activities

  • Support through maintenance of editorial information on Journal Homepages in consultation with Publisher or Editor.
  • Assisting with new journal launches and to bring on board new Society journals by setting up new journal homepages.
  • Tasks that are around raising any forms of PO or invoices to external suppliers for work on portfolio; any tasks that is in relation to creating Certificates or arranging gifts for Authors, Reviewers or Editors; involved in a series of activities/tasks for the Editor, whether it is generating communications to or on behalf of Editor which can also include setting promotional access on Society or Editor Choice content. 

Communication

Communicate with internal and external contacts about queries and ongoing activities;

  • Coordinate activities with internal and external contacts;
  • Track and follow up as required to meet schedules; Regularly update publishers on status of activities                                                                                     


Contribution to Best Practices and System Development (10%)

  • Contribute to best practice ideas, operational procedures and workflow efficiency;
  • Take up various additional tasks as may be required from time to time to support portfolio objectives and publishing activities including work on special projects;
  • Contribute to testing and development of internal systems;
  • Act as a champion for one or more systems
 

Local office Support
  • Order office supplies; Assist in local office logistics for visitors when needed                                                                                            

What you should bring
  • BA / BS in English, Science or related areas; Some general office experience  
  • Strong Microsoft Office skills: Outlook, Word, Excel;
  • Ability to quickly learn Elsevier's databases and internal systems;
  • Strong eye for detail;
  • Good communicator, both verbally and written
